How do I reserve equipment?

Once you have completed a production workshop you may reserve equipment on which you have been trained. The steps to do this are as follows:

1. Check the Production Facility Schedule Book on the sign-up table to see if the equipment is available at the time you need it. DO NOT WRITE IN THIS BOOK.

2. Fill out the appropriate request form. Please date and sign the form. Forms without signatures will not be processed. Place the form in the top tray labeled Completed Forms.

3. We will process your form as soon as possible and enter the confirmed reservation into the Production Facility Request Book.

4. You will be called only in the event of a conflict. Please refer to the Production Facility Request Book to confirm your equipment has been scheduled as requested.

5. NO EQUIPMENT WILL BE RESERVED BY TELEPHONE. All requests must be submitted in person, and will be honored on a first-come, first-serve basis.

Reservation Guidelines
You may reserve equipment four times per month, per program with the exception of the remote studio, which may be reserved two times per month per program.

CAMERA - 1 to 24 hours per reservation (4 times a month)
STUDIO - 1 to 4 hours per session (up to 16 hours a month)
EDITING - 1 to 4 hours per session (up to 16 hours a month)
PORTABLE STUDIO - 1 to 14 hours per reservation (No overnight reservations)

Equipment can be reserved up to three months in advance. Depending on availability, you may reserve equipment on very short notice. A few weeks in advance will usually provide you with adequate scheduling possibilities. Planning ahead, of course, will help insure the equipment is available when you need it.

Portable Equipment
Using your Remote Equipment Request form as a guide, an AccessVision staff person will check your equipment out to you. Please allow 15 minutes for this procedure. Expect the staff to examine the equipment carefully both at check out and check in. Its not that we dont trust you, it is to insure that everyone ends up with equipment that is working properly and so that you dont get blamed for another persons folly.

Help things run smoothly
1. Be on time. If you are 30 minutes late, you effectively relinquish your reservation.
2. Let us know at least 24 hours in advance of a cancellation.
3. If we are not notified of a cancellation you will receive a warning (if it happens again you will be suspended from using the facility for a period of time).
4. Be flexible and courteous. It works best for everyone if we all work together.
5. Let us know about any problems you experience with the equipment. This is the only way we can ensure everything is in working order for the next person.
